“At any given time, if a fire officer asks for evidence of what we’ve done, I’m 100% confident that we are compliant,” says Kristi.
“Any incidents raised are now actioned quickly by maintenance, and when we recheck those points later, they’re no longer failing. That’s a big improvement.”
With FireCloud365, the team can instantly access reports, track issues, and view completed checks ensuring that nothing is missed and compliance is always maintained.
Streamlined Fire Safety Management
The shift from manual to digital fire safety management has saved the team valuable time and reduced administrative tasks.
“We used to take printed checklists during walks, mark them manually, and then upload the data into our computers,” Kristi explains.
“Our C-drive was constantly full, and the admin side could easily take 15–20 minutes.”
Now, all fire walks and checks are logged directly through the FireCloud365 app. Two team members can conduct checks simultaneously, and reports are automatically stored and accessible from anywhere.
“There’s nearly no admin bit anymore,” Kristi adds. “It’s paper-free, time-saving, and transparent. I can access data and photos instantly. The system even prevents a walk from completing if a point is missed which is critical, especially for night shifts.”
Live Visibility Across the Hotel
One of the standout features for voco Grand Central has been FireCloud365’s real-time dashboard.
“The live updates are fantastic,” says Kristi. “I can see completed walks at any time from my phone without checking folders or files. It gives constant assurance that everything is being done as it should.”
This instant visibility has improved communication and accountability across the team, ensuring that checks are always completed on time and to standard.
Always Ready for Inspection
Each month, FireCloud365 automatically generates a detailed compliance report for the hotel’s health and safety folder meaning they’re always prepared for inspections.
“We’re essentially always ready for an inspection without having to prep for it,” Kristi says. “The monthly report goes straight into our folder, and it’s one less thing to worry about.”
This automation ensures consistency and removes the pressure of last-minute audit preparation.
Results That Speak for Themselves
Since going live with FireCloud365 in March 2025, voco Grand Central Glasgow has seen a major improvement in efficiency and compliance confidence.
“Any problem we’ve had so far has been user error, not the system,” Kristi laughs.
“And honestly, I’ve only used about 10% of what it can do so far. I’m looking forward to another training session to explore more features.”
When asked to rate the overall effectiveness of FireCloud365, Kristi’s response was simple:
“Ten out of ten.”
